More than a board

The same canvas holds flowcharts, PDFs and notes, so the plan and the documents live together.

How to set up a kanban board

  1. 1

    Open the board

Press Use this template to load the three-column canvas with sticky notes already arranged.

  2. 2

    Write one task per card

Keep cards small enough to finish in a day or two — big cards hide problems in the middle column.

  3. 3

    Cap the middle column

Agree a limit for how many cards can sit In Progress at once. The limit is what makes kanban work.

  4. 4

    Move cards as work moves

Drag a card the moment its status changes, and review anything stuck in one column at your next stand-up.

Common questions

What is a kanban board used for?

Tracking work through stages. Each card is a task and each column is a stage, so the whole team can see status, bottlenecks and workload at a glance.

How many columns should I use?

Start with three — To Do, In Progress, Done. Only add a column such as Review when there is a real hand-off worth making visible.

What is a work-in-progress limit?

A cap on how many cards may sit in a column at once. It forces the team to finish work before starting more, which is what actually speeds delivery up.

Can I use it with a remote team?

Yes. The board syncs live, so remote stand-ups work off the same canvas with everyone's cursor visible.

Is the kanban template free?

The pre-built kanban board is part of the Plus template set. You can always build your own columns on a free blank board.
